NN seeks Administrator

Northampton Neighbors (NN) seeks a highly organized, creative, and civic-minded individual to manage the organization's administrative portfolio.

This is a brand-new role for the organization, and it aims to help NN refine and create systems, run organized programs, and engage volunteers, donors, and community members.

Job Title: Administrator

Start Date: March 17, 2025

Experience Level Mid-level

Compensation $20 to $30 per hour 
(commensurate with experience)

Classification  Part-time 
15 to 25-hour work weeks, including occasional evening and weekend commitments

Benefits
7 paid personal days per calendar year


Location: Our office is at the Potpourri Plaza 243 King Street Northampton Massachusetts. A portion of the job duties may be performed remotely during flexible hours in coordination with the Director.

Northampton Neighbors (NN) seeks a highly organized, creative, and civic-minded individual to manage the organization's administrative portfolio.


The Administrator will enhance existing office and communication strategies while developing new ones. This is a brand-new role for the organization, and it aims to help NN refine and create systems, run organized programs, and engage volunteers, donors, and community members.



Responsibilities include maintaining administrative systems that are efficient and organized, leading public relations strategies to improve communication with members, volunteers, and donors, and creating print and digital messaging including the NN website and social media platforms.



Our ideal candidate can work independently with minimal supervision and be comfortable managing our administrative volunteers. They should be highly organized, attentive to detail, data-driven, eager to take initiative and recognize the growth potential in this role.



They should value relationships and work well with people from diverse backgrounds and ages. They must be a strategic thinker who enjoys collaborating with teams of staff, volunteers, partners, and community members.



Responsibilities

Administrative

Maintain NN database of members and volunteers [Club Express], and donors [Bloomerang].

Process new member registrations and volunteer applications

Process, track, and acknowledge  monetary and in-kind donations

Communications

Create, update, and maintain website content relevant to NN’s work and community activities [Club Express].

Coordinate with NN staff and volunteers to plan messaging campaigns to volunteers, donors, members, and the broader community.

Design and manage print [Canva] and digital [MailChimp] messaging

Manage content relevant for PR or funding purposes, like photos and articles.

Other duties as needed to support the Director



Expected Hours of Work

The position is designated for part-time staff working 15 to 25 hours per week.

Regular hours at the NN office are Monday-Friday from 10 am to 4 pm. On-site work is expected to be performed within that schedule, to overlap with the Director. 

Flexible hours are available if remote work is appropriate and approved.


Qualifications

Motivated and confident to implement new strategies and train colleagues in new systems.

Exemplary interpersonal, communication, and presentation skills.

Ability to manage member and donor information with discretion and confidentiality

Working knowledge of design and communication platforms and programs, including Canva, MailChimp, and Survey Monkey

Proficiency with MS Office Suite, database maintenance and management, and general office technology

Ability to multitask, keep projects organized, and meet 

Spanish fluency is preferred, but not required.
